The meeting opened at 1800 hrs with a dip in the pool, followed by a BBQ at 1900 hrs, and finally getting down to business at 2000 hrs, 13 August 2002 at the home of Steve Sauvé.

Old Business

Things did not work out as planned at the IPMS/USA Convention at
Virginia Beach .  The convention organizers did not make any of the previously arranged accommodations for the IPMS Canada National Executive, and the topper was that the IPMS Canada Awards weren’t presented during the awards banquet.

This snub prompted much discussion, and Jamie read out a draft letter that he will be sending to the President of IPMS/USA, informing them that we will no longer be sponsoring this award at future IPMS/USA conventions.

National Director

In the wake of the increasing troubles (over the past few years) with our part in the IPMS/USA National Convention, the ND recommended that we look at some form of sponsoring a ‘Best Canadian Subject’ award at contests held by IPMS Canada Charter Chapters as a better use of our money.

Should we go with this plan, the ground rules will include providing photos of the winning models, receipts for awards presented, and the winners get our award, plus a one-year membership (or extension) in IPMS Canada.  Some issues need to be worked out but this is thought to be a workable plan. Sid will submit designs for the new award, and Randy will be the procurer of same.

Random Thoughts Editor

Sid has been shopping around for another printer for RT.  The prices are ranging from $885 to $1400 (vice $1300 for the old price).

Visual and tactile improvements will be made to RT 27/5, which will be ready for printing and/or mailing by the end of August.

Bob showed some quick improvements he had made to the photo quality produced in RT 27/4.  His demonstration showed that we can have a high-quality product, if we are diligent in stating our requirements with the printer

Doing his homework from last month, Bob also showed some new and improved cover designs for Random Thoughts.  One of these was very popular with the Exec and will be incorporated with minor changes for RT 27/5.

Treasurer

John did not have the planned financial report for this month.  Next month for sure.

All cheques have been deposited and all the bills are paid.


We are now sitting at with a comfortably tidy sum in our bank account.  Of course, this is not all ‘free money’, and most of it is earmarked towards servicing memberships.  But it sure seems nice just the same.

Debbie announced that we had 56 renewals and 8 new members last month.  A fine trend that we hope will continue.


A spreadsheet version of the membership list was offered for internal consumption.  Copies will be sent to Jamie and
Steve .

Marketing

Continuing from last month, regarding the attracting and retaining members in the organization, Randy met with the Neil Robinson from SAM (Scale Aircraft Modelling) magazine at
Virginia Beach .  We will be exchanging advertising space with them.

Steve noted that all advertising should show our website address prominently.

Bob offered a variety of suggestions for reaching the masses with our message (apparently he was the only one to do his assigned homework from last meeting):

- Seek out publicity in forums like Airforce magazine, the CF's Maple Leaf, Cadets, and the Legion.
- Contact with the large number of Military Museums, with links and exchange ads
- Produce a slick flyer for distribution across
Canada (cost- approx. $1k for 5K copies)
- Info sheets in appropriate model products
- Approach hobby shops to display our marketing material.

SAM and SAMI magazines will be getting review copies of our new decal sheet.

The Archives Cabinet, Part the 7th (no end in sight).  There was a vague promise made that the cabinet would move to Randy’s house by year-end.

Webmaster

The hit count is up, and the mail is being forwarded or answered.  The National Executive biographies were acclaimed as a good thing by all and will be published on the site this week.

John will be bringing his digital camera to the next Exec meeting to get some quickie portraits for the biographies.

A 'Members Only' area of the website will be investigated for possible implementation.

Special Projects

The new XXX XXXXX decal artwork is ready to go to the printers. 

The Microscale folks will be contacted this week to produce this sheet for us. 
Mike Belcher indicated that we can expect about a six-week turnaround on this project.

The price for the sheet will be subsidized for current members.  The non-member price will be subsidizing the sheet for the faithful.

Steve suggested saving a few bucks in production costs by including a black and white instruction sheet with the decals, and having a colour version available as a download from the web page.  The kid’s thinkin’ outside the box, as they say.

A member from the West will be building up two models carrying markings from our Canadian ‘Aces’ sheet.  This will tie back to our advertising and the website.
